SimTrainer Technologies (“SimTrainer,” “we,” “us,” or “our”) is committed to protecting the privacy and personal data of individuals who interact with our platform. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use SimTrainer, our AI-powered employee training platform.
This policy is published in compliance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000 (“IT Act”), and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 (“SPDI Rules”).
By using our platform or submitting your information through our website, you consent to the collection and use of your data as described in this policy. If you do not agree with this policy, please do not use our services.
1. Data We Collect
When you interact with SimTrainer — including by filling out our contact or demo request forms — we may collect the following personal and business information:
- Business Name — the name of your organisation
- Contact Name — the name of the individual submitting the inquiry
- Email Address — your business or personal email for correspondence
- Phone Number (optional) — a contact number, provided at your discretion
- Industry — the sector in which your organisation operates
- Team Size — the approximate number of employees to be trained
- Roles to Train — the job roles or departments you wish to train
- Biggest Challenge — information about your current training challenges
- Additional Notes (optional) — any other details you choose to share
In addition, we automatically collect the following non-personal technical data when you visit our website (see Section 7 for full details):
- IP Address and approximate geographic location (country, city)
- Browser Information — user agent string and referrer URL
- Interaction Data — pages visited and buttons clicked, with timestamps
We do not collect sensitive personal data or information as defined under the SPDI Rules (such as passwords, financial information, biometric data, health records, or sexual orientation) through our website forms.
2. Purpose of Data Collection
We collect and process your personal data for the following specific, lawful purposes:
- To respond to your inquiries and provide information about our services
- To schedule and deliver product demonstrations
- To understand your training needs and recommend suitable solutions
- To communicate with you about our platform, updates, and relevant offers
- To analyse website traffic, visitor geography, and user interactions for internal analytics
- To improve and develop our platform and services
- To comply with applicable legal obligations
We will not process your personal data for any purpose beyond what is specified above without obtaining your separate consent, unless permitted by law.
3. Legal Basis for Processing
Under the DPDP Act, 2023, we process your personal data based on the following lawful grounds:
- Consent — By submitting your information through our forms, you provide explicit consent for us to collect and process your data for the stated purposes. You may withdraw your consent at any time by contacting us.
- Legitimate Uses — Processing necessary for responding to your voluntary communications and fulfilling your requests, as permitted under Section 7 of the DPDP Act.
- Legal Obligation — Where processing is necessary to comply with applicable Indian laws and regulations.
4. Data Storage and Security
Your personal data is stored in a SQLite database on our secured servers. We implement reasonable security practices and procedures as required under the SPDI Rules, 2011 and the IT Act, 2000, including:
- Encryption of data in transit using TLS/SSL protocols
- Access controls limiting data access to authorised personnel only
- Regular security reviews and updates to our infrastructure
- Secure server environments with restricted physical and logical access
While we take all reasonable measures to protect your data, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security but are committed to protecting your information to the highest practicable standard.
Data Localisation
Your data is processed and stored on servers located in accordance with applicable data localisation requirements under Indian law. In the event that data needs to be transferred outside India, we will ensure compliance with the provisions of the DPDP Act and any rules notified by the Central Government regarding cross-border data transfers.
5. Data Retention
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law. Specifically:
- Inquiry data is retained for the duration of our business relationship and for a reasonable period thereafter to address follow-up queries.
- Communication records are retained as required for legal and compliance purposes.
Upon expiry of the retention period, or upon your valid request for erasure, your personal data will be securely deleted or anonymised in accordance with Section 8(7) of the DPDP Act, 2023, unless retention is required by law.
6. Your Rights Under the DPDP Act
As a Data Principal under the Digital Personal Data Protection Act, 2023, you have the following rights:
Right to Access Information
You have the right to obtain a summary of your personal data being processed by us, including the processing activities undertaken with respect to your data (Section 11, DPDP Act).
Right to Correction
You have the right to request correction of inaccurate or misleading personal data, and to have incomplete data completed (Section 12, DPDP Act).
Right to Erasure
You have the right to request the erasure of your personal data where it is no longer necessary for the purpose for which it was collected, or where you withdraw your consent (Section 12, DPDP Act).
Right to Withdraw Consent
You may withdraw your consent for the processing of your personal data at any time. Withdrawal of consent shall not affect the lawfulness of processing carried out prior to the withdrawal (Section 6(4), DPDP Act).
Right to Grievance Redressal
You have the right to register a grievance with our Grievance Officer (details in Section 11 below) regarding any issue related to the processing of your personal data. If your grievance is not resolved to your satisfaction, you may escalate the matter to the Data Protection Board of India as established under the DPDP Act.
Right to Nominate
You have the right to nominate another individual to exercise your rights in the event of your death or incapacity (Section 14, DPDP Act).

7. Cookies, Analytics, and Tracking Technologies
Our website may use essential cookies that are strictly necessary for the functioning of the site. These cookies do not collect personal data and are not used for advertising purposes.
First-Party Analytics
We operate a lightweight, first-party analytics system to understand how visitors interact with our website. This system is hosted entirely on our own infrastructure — no data is shared with third-party analytics providers (such as Google Analytics). The following information is collected automatically when you visit our website:
- IP Address — used to derive approximate geographic location (country and city) and to count unique visitors. IP addresses are stored in our database and are not shared externally.
- User Agent — the browser and operating system identifier sent by your browser with every request
- Referrer URL — the page you visited immediately before arriving at our website, if your browser sends this information
- Page Path — which page on our website you visited
- Timestamp — when the visit occurred
Click Tracking
We track interactions with specific buttons and call-to-action elements on our website (such as “Get Early Access” buttons) to understand which features attract interest. This data includes the element identifier, a human-readable label, the visitor's IP address, and a timestamp. No personally identifiable form data is captured through click tracking.
Purpose of Analytics
This analytics data is used solely for internal purposes: to measure website traffic, understand visitor geography, evaluate the effectiveness of our landing page content, and improve the user experience. We do not use this data for profiling, behavioural advertising, or any purpose other than those stated above.
We do not currently use third-party analytics cookies, advertising cookies, or external tracking technologies. Should this change in the future, we will update this policy and obtain your consent where required.
8. Third-Party Data Sharing
We do not currently share, sell, rent, or trade your personal data with any third parties. Your information is used solely by SimTrainer Technologies for the purposes described in this policy.
In the event that we engage third-party service providers (such as hosting or email delivery services) in the future, we will ensure that such providers are bound by appropriate data processing agreements and comply with the requirements of the DPDP Act, 2023. This policy will be updated accordingly.
We may disclose your personal data if required to do so by law, court order, or by a direction of the Data Protection Board of India, or any competent authority under applicable Indian law.
9. Children's Data
SimTrainer is a business-to-business platform intended for use by organisations and their authorised representatives. We do not knowingly collect personal data from individuals under the age of 18. In compliance with Section 9 of the DPDP Act, 2023, if we become aware that we have collected personal data from a child without verifiable parental or guardian consent, we will take immediate steps to delete such data.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. Any material changes will be communicated by posting the updated policy on this page with a revised “Last updated” date.
We encourage you to review this policy periodically. Your continued use of our platform after any changes constitutes your acceptance of the updated policy. Where required by the DPDP Act, we will obtain your fresh consent for any material changes to how we process your personal data.

In accordance with Section 8(10) of the DPDP Act, 2023 and Rule 5(9) of the SPDI Rules, 2011, we have appointed a Grievance Officer to address any concerns or complaints regarding the processing of your personal data:
